            The present work is related to the organization of a fundraising program which is associated with the homecoming program. The program was organized at different locations, particularly Hessle, Wakefield, Norwich, and Bridgwater. Event production is a process related to the application of project management, creation, and the development of large scale events. There are different types of event production processes such as formal parties, concerts, festivals, and conferences (Economictimes. indiatimes. com). To organize the event, it has been decided to hold an art even because it is mostly used for the organizations for charity collection. The industry of the event management is growing continuously and event management is considered as a continuous process which revolves around practices of the project management and its utilization. The methods of the event management are commonly used for the creation and programming of the events, for example business exhibition, seminars, conferences, and festivals. The significant benefits and purpose for planning this is to raise funds for Charity purposes for the several NGOs.

            This fundraising will be used to facilitate the old peoples in nursing homes and children in the orphan house in United Kingdom. Therefore, managing the event as An Art event required dealing with the planning, organizing, leading, and controlling several resources. The aim of this assignment is to organize an art event on behalf of the valued client whose aim is raising the funds for providing the food and shelter to the peoples of old age and orphan house in the United Kingdom. As an Events Entertainment Operations manager for Enlightened Productions, one has to look few important factors related to the event as location, menu, a number of guest special requirements, date and time, and health and safety of the guests and the staff.

Section A: Key Success Factors of Events and Entertainment Operations

            In management, CSF (critical success factor) is a term that is necessary and required to achieve the mission. Critical success factor is a unique term used to analyze and reflect the goals of current and future goals and it is a powerful strategic tool to determine the success rate in an organization (Thebalancecareers. com). To make the “Homecoming” successful, there are so many essential factors of success which should be given full importance. There are several Critical Success Factors which are used for the practical and eye attractive for managing an art event. It includes proper planning, marketing, target audience, types of development and accessibility. The critical success factors are commonly known as the key result area which can be referred as activities completed for the high-quality standard to achieve the project goals. CSF is also known as the method for prioritizing specific tasks as the plan of the event which must be executed.   

Type of Event of Events and Entertainment Operations

            The principal purpose of theHomecoming” is fundraising for facilitating the Homelessness (old age and orphan children). The idea of Homecomingis to manage different types of activities which will engage my audience and attendant of the event. For this purpose, various activities like Cultural art drama performance, Art painting, Puppet shows, magic shows, and debates on current events.

To perform the drama, 10-12-person team will be made, who will present their assigned roles. The script of the scene will consist of serious and entreating which will not let people get bored while watching it. It also includes laughter and various types of pranks in the drama performance. Further activities will also manage according to their ways.

Target audience of Events and Entertainment Operations

        The event will be held at the proper location which is most near to the “The British Museum” London, United Kingdom. This place will attract different audiences and bring them according to the common purposes of helping the underprivileged of society. For the event of the “Homecoming,” the target audience will be the people of all demographics youngsters, teenagers, children above seven-year-old without any discrimination of the region, gender, and religion. Meanwhile, children less than seven years old are not allowed for this event due to the security issues. The target audience is adults of ages over 18 years. The audience of adults is most suitable target audience to generate the revenues and profits and they will be more interested as compared to the kids. The estimation of the exact number of the target audience is difficult in such type of fundraising event but it could be more than 2000 people.

            The Accessibility of the location is one of the significant success factors for the Homecoming, and these factors must be considered as necessary for the success of the event. The ease of the location is ensured before selecting the place for this event as; parking and smooth flow of transport. The position must be free of fear of any security issue. Although the event is a fundraising event, it still requires proper selection of location. There are different factors affecting the event such as date, marketing strategy, and location. The team for the control must be trained so that there will be no difficulty in controlling all the task related to this event. For planning, there must be various team members that were involved in communication with the administration members.         The manager will take leave from the government for this event by assuring them of any hazard. As an event organizer, the organizer will get the public entertainment license which is commonly issued by the local authority of the region for all locations, building in the open at where the event is organized for the general public.

            The license can be availed for more than one events at a time from the local authority. As the organizer of the “Homecoming,”, the organizer will acquire the art license to presenting the celebrity while they will be invited for these events for achieving our objectives. Sometimes for acquiring this license the permission from clients is necessary, and this permission can be written as a statement because this event is related to fundraising.  For the event of the “Homecoming,”, the organizer will acquire the public liability which can be used to protect the charity in the event and it can be the cause of damage or injury to someone.

            According to the Noise Act 1996, anyone from the neighborhood can take the step against this for the violation of the laws but there is a permission to prevent it, and license has been taken for the control of the noise at working organization. As an organizer of the “Homecoming,” rules and regulations have been followed for accommodating the participants (Pozgar).    

Risk Management of Events and Entertainment Operations

            The risk management can be defined as evaluation and forecasting of financial risks and to define the methods for identification of potential risk and how it can be minimized (Economictimes. indiatimes. com). From the start of the event operation, the risk management must be a part of the game. The manager should be prepared plans for managing the risk in good manners. It will be conducted for minimizing the certain risk during the event. The below-given chart is representing the proper plan for reducing the risk during the event. In the development of the risk management plan, the first step is related to identifying activities and elements by which the risk can occur. To measure the risk which is carried out by these activities as; food and beverage operations and unavailability and shortages of the menu items. At the third step, the manager will figure out how the risk will be managed and the consequences of the risk. These steps are considered as the best ways of dealing with the risk. Therefore, all of these must be sought by the mangers of the event to minimize the risk while preventing something wrong from happening (Hendricks).        

            The event manager also had prepared a risk assessment table for the event in which he had to identify different hazards that may happen during the game. Then in the next step, he had decided that the dangers he had identified are harmful to the participants or not?  After this, he had evaluated all the risks and issues of these hazards, and then he decided all its precautions. After this in the next step, he had recorded all his main findings of the safety precaution of this event and then in the last step for the risk assessment he had critically reviewed all the safety precaution that was required during the development (Hughes and Ferrett).  It is one of the significant responsibilities of the event organizer; the participant of the game will go back happy. This event would be memorable for the participant of the event so that the contingency theory would be followed for providing complete security to the participants.

Health & Safety (Security and crowd control) of Events and Entertainment Operations

            The health and safety conditions in the workplace define the legal ramification for the things. The aim of health and safety measures is to promote the process maintenance with a higher degree of social, mental, and physical wellbeing conditions of workers (Phoenixhsc. co. uk). The health issues for the working condition are required to be maintained without having an effect on physiological and psychological capabilities (Paycheck. pk). The legislation for the health and safety conditions in the workplace is required to be considered. The rules for the legislation and occupational conditions in the present work will be considered. The hazardous occupation rules 1963 and health and safety at work act 1974.

            The next point is for health and safety measures at the event. As an event manager, facilities must be provided for the safety and health of the audience and participants at the game the manager was involved in delivering. The back plan has been made to overcoming any uncertainty and emergency. The help of the professional will be taken for giving security to the target audience.

            The help is taken from the authority as; Health & Safety (First-Aid) Regulations 1981 in which the person required to providing the facilities, appropriate equipment and adequate. It is also used for ensuring the participant in receiving their immediate attention in the case of inured at the event. At the “Homecoming” all the risks of danger can be minimized by providing the proper safety and health. The most important point is to manage and control the crowd for this event (Burke, Clarke and Cooper).

            For the event of the “Homecoming”, there were some health and safety issues that the event manager had arranged for the successful event. The primary role of the event manager is to minimize all the risks during the game. The team leader has to manage all the uncertainty that may happen during the event.  The event manager was involved in clearly managing all the situations and condition that may happen to harm the audience and participants during the performance of the various activities at the event and according to this kind of situations and conditions he had designed enough safety precautions for the person that are attending this event. He had managed enough safety precaution due to this there is a very low probability of risk (Hughes and Ferrett).

Supply Chain Management of Events and Entertainment Operations

            The supply chain management is the proper management for the flow of services and goods and it involves storage and movement of raw material in the inventory and consumption points. The supply chain management can be defined as monitoring of supply chain, design, planning, execution, and control of the processes.

            The supply chain management is considered as the important point for any event and is the organizer of the “Homecoming,” traditional process of the supply chain will be following. This process starts from the idea of the “Homecoming” to the last step as managing the waste which will be happening at the end of this event. Being an organizer of the “Homecoming”, it will be ensured that the visibility will be provided to making sure either audience is receiving information or not. It will be ensured that the supply chain can perform optimally by enhancing the productivity, speed, and visibility of the process of the supply chain (Raschid Ijioui).    

CSR and Sustainability of Events and Entertainment Operations

                CSR can be defined as corporate social responsibility in the business and the approach contributes to the sustainable development of the company for the environmental, social, and economic benefits of the stakeholder.  The main purpose of CSR is to describe efforts for the improvement and to implement the environmental policies of the workplace (Lexicon. ft. com). In this part, there is a discussion about the CSR and sustainability consideration of the event. The event was about the “Homecoming,” and it’s an event for the fundraising purpose. For this event, the event manager was involved in ensuring that there was no CSR mishap during the game. The ethical issue was raised from the audience, and the topic was about their race. They were angry at each other and creating a lot of noise in that room so that the management of the event need to take serious action against that action. Anyhow in the last, this ethical issue was resolved in the final of the game (Becker).

                The manager will be played a central role in the sustainability of the event the management. The characters are assigned to all team members for controlling the audience and providing them accurate information. The rules of corporate social responsibility are followed by the mangers of the event for organizing the “Homecoming.” controlling the formation of the unnecessary notices by which the peace of the surrounding environment can be disturbed will be ensured. The code of the conduct must be adhered by the event planner all of these code of conduct for planning were followed “Homecoming” (Russ).

Waste Management of Events and Entertainment Operations

            The waste management can be defined as action and activities that require the management of waste disposal and deals with the practices and municipal solid waste. The bulk waste is created by the commercial activities of industries and requires proper management. Waste management requires recycling and disposal solutions of products (Wm. com). Waste management requires residential waste and recycling solution for the improvement in health. As an even manger, all the waste which will be generated during the event of the “Homecoming” will be managed in good ways without disturbing anyone. For accommodating the participant, five bins will be placed on the different places which will be in the access of each individual. As the “Homecoming” is an art event, so the bins are also decorated with different ribbons and attractive colors. Forgiving the cultural message to the society the several statements will be written on the bins as "Use Me", I am here for you". This statement will be given the message to the audience to keeping the society neat and clean.    

Reflection of Events and Entertainment Operations

            In the critical reflection of this event, there is a discussion about the whole event that was about the “Homecoming” and in this event, many participants took part and showed their unique and fabulous talent to the audience and also the judges. The working process is convincible and improves the learning for the implementation of the plan, planning, and preparation. I have learned new methods related to the corporate safety programs including minimization, characterization, and generation of the process. The process was informative and educative to be followed and to organize the event. The planning process involves the learning of managing the resources, technological skills, and managing of resources. 

            I have also noticed that the protocol given by the event operation team to the audience for that event. They have arranged a refreshment plan at the end of that event. I have also noticed the protocol that the event management team has given to the main judges of that event. They have extremely comfortable chairs than the audience also for them there is a cup of tea or coffee for them after every hour. At that day, the weather was too cold but the management team has arranged the best quality heaters in the room. So that there will be no cold in that room. The amazing thing was that the heating system was controlled with the help of the control system that was controlled from the control room. Afterward another good thing I have seen in this event was the use of proper production system the lighting was amazing throughout the event. There was not a single mistake from the light controller can be seen in this event.

            There is talent from the whole institute can be seen. All the talent was real and noticeable. They have found very authentic and highly noticeable mistakes for honest decisions. Another positive point in this event as they have arranged a very amazing refreshments for the visitors and the students of this institution. For snacks the use of chips, biscuits, and popcorn. The popcorn with different flavours like Carmel butter and salt and in the drinks, there were different types of soft drinks, juices, and water.  Another positive thing in this event I have seen in the form of decoration from the gate to the room where the event was held. The event management team has used a variety of fake flowers for the decoration.

            They have also used different colour ribbons for the decoration. After this, another positive thing I have seen in this event as they have use signposts for the right direction towards the event area. This is for the ease of the audience. Next positive point I have seen in this event was the use of spotlights at the stage this was an amazing idea for this event because it helps to the increased interest of the viewers. Another production technology the event manager had used in this event was the Dolby Atmos sound system. This system enhanced the sound quality as well as the interest level of the audience.

            There are also some negative points that can be seen during this event like after the refreshment, the audience and the students throw their empty packets on the ground and a basket can be seen beside them. The event managing team was also not taking action against this action. Another negative point can be seen during this event was from the audience. In the audience, there were some boys that were shouting after each performance. This kind of action was the main reason of ruining the environment of the event and it affects the discipline greatly but after some time, event management team took serious action against these boys and controlled the discipline. The things they need to change, the event must be arranged in weekdays and also in the morning. Also, they have to start the event. 

Conclusion on Events and Entertainment Operations

                It is concluded that the business of the event management is going to be vast in the early 21st century.  As an Events Entertainment Operations manager for Enlightened Productions, there was need to look at a few important factors related to the event. Event or arts named as “Homecoming” were organized and the event is organized on the behalf of our valued clients. The major purpose of these events is to fundraising for the underprivileged as the peoples of the old age homes and children of the orphan house. The event is organized at a good location mostly near to British museum and celebrities are called as chief guests for the “Homecoming”. The ticket will be sold out for earning the money and generating the funds for the charity.  The critical success factors are also determined for this event. The operational plans for the “Homecoming” are explained in details in this paper in which Licensing and Legal Issues, Risk Management, Health & Safety (Security and crowd control), Supply Chain Management, CSR and Sustainability, and Waste Management are included.
