The
Directorate General of Passport & Residence department is one of the
important ones handled by the ROP as it gives a sensitive document like
passport to the citizens of Oman. It is an international identity for any
citizens, which can be known to the other part off the world. So, department
has to follow certain strict rules and procedures. The strength of this
department was that it has proper procedures and processes to be followed. There
was nothing out of the process in the whole department and each process was
streamlined well to maintain a good work order in the organization. Moreover,
the other strength of the department was its ability to handle so many
applications as it had good enough procedures to do so. The other good thing
about this department was its work environment, which was friendly and had
great opportunity for any new learner to learn so many things, as people
working in this department were very supportive in nature. The weakness that I
noticed in this organization was the time factor. The human resource was less
in numbers to quickly process the applications, and I believe more employees
can be hired in this department to give more speed to the passport application
approval process. So, this is also the major opportunity for the department as
well that they can hire more skilled and professional individuals in the
department to maintain good speed and order in its application process. I would
like to mention here that department did not have any considerable threat to be
mentioned here. Overall the work process, guidelines and procedures were fine
enough to say that it is one of the most streamlined departments in the
organization.

As mentioned earlier that I was
assigned with different tasks and responsibilities in the department. The major
responsibility given to me was, handling passport applications and verifying
the details of documents to find any errors or missing documents. The second
task that I was given to learn and handle was entering applicants’ data into
the database of ROP so that a proper record can be maintained for each
applicant, and it can be easily retrieved when needed. So, this was the nature
of my job in this passport and residence department, handled by ROP.

I must say that experience of
working in ROP’s passport and residence department was a great one for me in so
many ways. I was able to learn so many skills, which are going to be crucial
for my future professional career. The first great skill that I learnt was
giving attention to details. It means that when someone work in any field or
department, they may not have to be so careful and detailed in their work as I
have to be in this department. I was able to learn that how to given 100%
attention to your work and find any relevant errors or mistakes. I learned that
there was no leverage to make any mistake in handling sensitive data and
documents. The other great thing that I learnt was to do things with more speed
and agility. The continuous work pressure helped me to be more speedy in
handling my tasks with given timeline. I always had issues in handling any task
within time, but this department really helped me to learn time management
skills, and doing things within given deadlines.

I would like to mention here that I
also learnt so much from my class experience, which really helped me in doing
my tasks and responsibilities in ROP. I learnt the skill of becoming a good
listener and learner during the class, which really helped me in this job experience.
When I was given information, guidelines or instructions to do anything within
given time and processes, I was able to understand each and everything, because
I learnt the skill of being a good learner in my class. The skill that I learnt
from my class was being professional in attitude and behavior. The class experience
helped me to gain knowledge that how one should prepare for an official working
environment, and what kind of attitude and behavior should be adopted to look
more professional and skillful.

As mentioned above that it was a
great learning experience for me, but still I would like to mention here that there
are some skills and knowledge, which should be enhanced further. The first
major skill that I would like to get better with is communication. I experienced
during this job experience that communication is very crucial within the
department, as well as between the departments. Lack of proper communication
between the workers as well as between the leaders and the subordinates can be dangerous
for the organization because it can create issues and misunderstandings. If a subordinate
has not listened well to his leader and could not get what is said, then it is
more likely that tasks handled by such employee may result with errors, because
he did not communicate well with his supervisor. Moreover, I would enhance my knowledge
on handling data with correct pattern so that it can easily be retrieved later.
f)
Whatever I mentioned above, it was
all about professional level learning, but I also learnt various other things
as well. I was able to learn that how one should behave in a professional environment,
which is quite different from what we generally read in our classes. I was also
able to learn that any large organization has to handle so many things together
so they must have proper procedures system as well as resources to manage all
relevant tasks. If there would be any gap in communication or work procedures,
then it would be hard for the organization to maintain a good order in its
business, and keep things on the right track. Overall, the job experience was
so fruitful, and whatever I gained, can be used in my future career.
