In this report, the overall internship report will be
presented in detail that I have been involved in doing an internship in Civil
Aviation for two reporting periods. I will briefly discuss about the
organization and its different aspects like its mission & goals, its
structure, and its main competitors etc. For each reporting period, I will discuss
different details of the report like my roles and responsibilities that what kind
of tasks was handled by me. I will briefly explain that how many areas of the
work were covered by me in this internship. I have done this internship in Financial
Affairs Administration Department, so I will also briefly talk about the
department that what kind of operations are handled in this department. The organization
will be assessed and any improvement areas will also be recommended for the
organization. The report will also talk about the work environment and what
lessons were learned with the help of this internship opportunity.
I. Description
of the Organization of Civil Aviation for two reporting periods
The
organization is responsible to perform various kinds of responsibilities like
managing the International Airport as well as supervise all relevant facilities
and services regarding air transport traffic. The airport area also has to go
through various maintenance and construction processes, which are also managed
by the Civil Aviation. The organization also works to make sure that civil
aviation safety standards are met properly and international air navigation
services are provided with required procedures. The other main function of the
organization is to supervise all private bodies along with government
authorities with regards to the international airport (Civil Aviation, 2018). The organization
falls under the category of public sector as it is managed by the government. The
main office of the Civil Aviation is in Kuwait. The structure of the
organization is not complex to understand as there is President of Civil
Aviation. The second category under President is Director General of Civil
Aviation, and all other relevant offices and departments come under this
category. The GM of Civil Aviation also works under the Director General. The
overall structure of the organization reveals that it is a centralized structure,
where things are managed from top to bottom (CA, 2018). There are various
services are managed by the organization as they have been above mentioned in
terms of responsibilities. It is important to know that organization has no
main target competitors.
II. Internship Expectations of Civil
Aviation for two reporting periods
I would
like to share various expectations which I had before going for this internship
in Civil Aviation. It is a fact that practical things are quite different from
the theoretical knowledge in so many ways, but practical things are driven by
that theoretical knowledge. So, I was expecting that I will explore practical
nature of my accounting field that how things are being done in real world
situations. I was expecting to learn about work management techniques along with
time management. I expected that internship will help me to deal with the management
staff and help me to learn proper communication in a working environment. The
biggest expectation was to develop and enhance my professional skills in a
professional work environment.
III. Structure of the Department related
to your Major
In this
internship, I was in the Financial Affairs Department, where different types of
functions are being performed. The accounting has been my major and so I was
assigned the tasks, which are relevant to the accounting field. Overall, the
department is responsible to handle various activities so that International
Airport’s economic management is in the right direction. However, there are
three major sectors for this department; the first one is related to general
accounting by supervising budget, auditing, revenues, expenditures, and
auditing, the second one is supervising purchase with different divisions, and
third one is supervision of warehouses. It is important to understand that
finance management is the most critical factor for this organization and it is
done by this department. The general accounting and budgetary control are the
primary functions of this department. The department’s role is so crucial in
the success and long term sustainability of the organization as it deals with
some very critical and essential financial functions (DGCA, 2018)
IV. Duties Discussion of Civil
Aviation for two reporting periods
As I
have mentioned above that auditing is the major thing, which is relevant to my
major. So I started this internship in this direction. It was important for me
to involve in tasks and duties which are associated with the auditing field so
that I can enhance my auditing knowledge with the practical exposure. The
department was dealing with various responsibilities and I was assigned to
observe that how they audit the financial statements and system so that I can learn
about these functions. This was my primary role, and my daily duties were
around this primary function. I used to involve in preparing journal entries,
which was the first ever task which I performed in this department. Certainly,
in practical terms, it was quite difficult for me to do this as I never did it
before, but with daily practice and supervision from the supervisor, I quickly
started to learn that how I can combine my university knowledge so that I can
handle such tasks.
The
other major duty that I performed was to match invoice statements with the
transactions. This was another tricky task but very useful on to enhance my
practical and professional knowledge that how one can correctly match the transaction
with invoice statements. It really helped me to focus on quality and learn
doing tasks with utmost quality because as an auditing professional you cannot
make wrong entries or incorrect matching of transactions with invoice statements.
There were few other auditing tasks assigned to me as well. I was involved in auditing
airline invoices for collection of management revenues and audit special
contract transaction before disbursement. The both tasks were quite technical
in nature, but I was able to perform them effectively with the help of my supervisor.
The financial transactions do need an audit before their disbursements, so I
was also involved in performing this audit duty as well. I am happy to state
that I was able to complete all of these duties with quality and efficacy as
both these aspects are crucial in the auditing field. The tasks and duties were
certainly crucial in terms of value for the organization and its Financial
Affairs Administration department. I was able to learn so much along with
adding my value to the organization by performing different task like an experienced
audit professional.
V. Organization assessment and
Recommendation for Improvement
Being
an intern and first time going in the field to work in a professional environment,
it was hard for me to assess the organization with utmost accuracy, but as I
came near to complete my internship, I was able to assess few issues in the
organization, which I believe can improve in the future for better and swift
performance of the department of Financial Affairs Administration. I must say
that in most parts, the organization was an efficient one. It had all the
ingredients of being a successful organization. There are various reasons to
say that like the organization has a very experience staff in its all
departments. It is important to have skilled and experience staff so that an
organization perform its function properly and efficiently. In the Financial
Affairs Administration department, they had experiences auditing and financial experts,
who knew tricks of the trade. They knew that how to effectively perform
auditing and financial functions with 100% quality. They knew that quality is
so crucial and even one mistake in the process can be very costly, so quality
was given intense focus by the management.
In this
industry, the operating organizations are under the public sector managed by
the governments. For instance, the national authority in United States is
called the Federal Aviation Administration (FAA). FAA is an authority, which
performs various functions like Civil Aviation, and it performs some great
practices to make sure that all regulatory civil aviation issues, tasks,
economic and safety regulations are done with the given standards. FAA has very
strict rules and regulations regarding the airworthiness and safety of the
aircrafts being operated, and they make sure that maintenance process is also
good enough to keep things on the right track. The rules and regulation for the
safety standards are very strict and to the point, and for all air carriers, it
is must to follow those rules, otherwise their aircrafts can be grounded. Moreover,
the FAA also involve in other best industry practices with regards to its economic
regulation which involves all kind of financial matters (Stolzer & Goglia,
2016).
When I analyze these kinds of standards in the Civil Aviation, where I did my
internship, I can say that they are also following the best industry standards.
The organization is also following the international standards for the safety
and maintenance of aircrafts along with best management of their financial
matters.
These practices can be applied in any civil aviation organizations
like Civil Aviation, and they can take a lot out of these best practices. Overall,
the work processes in my department of internship and other departments were
good enough in so many ways, and I could not analyze any major flaws. But there
are one or two things, which I would like to recommend to the organization. I
observed in the department of Financial Affairs Administration that number of
employees is less than its daily requirements. I was performing various tasks,
which were part of the organizational documents and I was given various side
duties to perform as well. I observed that many employees were handling multi
tasks because there were not enough workforces to do so. So I recommend that organization
should hire more employees across the organization. Moreover, I observed that
general building was bit congested and it has small spaces to work, so I recommend
them to construct more building or expand this one.
VI. Work Environment of Civil
Aviation for two reporting periods
The
work environment was so friendly and open, and it had so much for everyone to learn.
Overall, the behavior of leaders was a friendly one. The leadership style was
democratic in style as I observed that management was taking feedback from
employees, and giving enough value to their suggestions. It was helping to
develop them to engage all their skilled workers’ creativity and experience for
the better performance. I was very comfortable in communication with employees
as well as superiors, because they all showed very supportive nature. Whenever
I needed help, it was to offer by anyone I asked. One thing that I noticed that
work pressure and work load was too much on employees, because the number of
employees was less as per my understanding. The pressure in the work environment
was developing some stress amongst employees, which I felt from many employees,
when I talked to them. So organization should look into this carefully.
VII. Lessons Learned of Final
Student Progress Report
I
certainly learned a lot of lessons from this internship. I worked in the Financial
Affairs Administration department, but I was able to get better understanding
of the organization, because I was able to see various kinds of processes of
our department relevant to many other departments. I was able to learn from the
experience that how one should administer his/her works. This work management
and administration was one of the biggest lessons learnt as supervisor did help
me that how I can per from certain tasks with less time and more quality. I extensively
learnt time management skills. I also improved my analytical and professional
skills like I learnt by observing other employee that what is important to
maintain quality. I also learnt that how one can communicate professionally in
a professional work environment. I am happy to disclose that my expectations
from the internship met successfully, like I was hoping to learn management
techniques and time management skills, and I was able to learn these things
effectively. And when it comes to my contribution for the organization, I
certainly did contribute a lot. I helped in making journal entries and doing
various audit tasks. I must say that internship was a great experience to make
my future career plans. I was able to gauge that what areas I must focus in my
studies, which should help me in professional career, which I would chose by
suing this experience. The greatest lesson that I take away from this
internship is to focus on your skills and abilities, and always work with full
attention to make sure quality is there in each task you perform. I had various
challenges and issues in doing various tasks for the first time, but I learnt
that if you focus on your abilities and stay confident, you can learn to do anything
difficult.
