It
is a fact that success for an organization cannot be achieved without
collective efforts of its people. The organization needs to keep its people on
one page so that everyone understands the fact that what organization is trying
to achieve and what their roles are in this process. But the question is that
how it would happen. The simple answer to this question is that internal
business communication, which is critical for the business organization in so
many ways. The fact of the matter is that an organization may have great vision
and goals to achieve, but if they are not communicated well to its people like
employees, then organization can never achieve those goals and objectives. It
is important for an organization to enhance the efficacy and efficiency of its internal
business communication, otherwise there would be a huge communication gap and
growth & success will be a less likely thing to happen for such
organization ( Ritchie, 2015)
It is a fact that employees of an
organization need motivation as well as a roadmap to follow so that they can
not only work for their individual goals, but also can work to establish the
collective goals of an organization. But if message is not communicated well to
them that what is expected from them and what roles they have to play, then
there will be total confusion in the minds of employees, and outcome will be a
mess around the organization. The organization should ensure that its leaders
and managers realize the critical importance of internal business
communication, and then effectively convey the message to their subordinates so
that they actually know what to do. The organization should understand the
importance of internal business communication by developing certain internal parameters
and principles to drive the communication pattern forward in right direction. The
message needs to be loud and clear, like if an organization has an objective to
keep its customer services on top priority, then message should clearly be
conveyed to employees that they have to ensure 100% customer satisfaction with
great customer services. If message is not communicated well, then objective
cannot be achieved by the business organization (GROSSMAN, 2015)
Critical Reasons to implement Effective
Internal Business Communicati
The business organization cannot
imagine a situation where they don’t have any communication guideline and
policy for its staff to follow as it would lead to great confusion and chaos in
the end. It is vital to convey the message to staff that what bigger picture
they have to keep in mind, and how they fit in it as crucial resources. They
must know their roles and responsibilities so that they can show commitment and
dedication to achieve assigned tasks. The managers of the organization should
make sure that aims and objectives of a certain work policy or process are
communicated with clear understanding so that staff knows how to achieve those
aims and objectives with ultimate success on long term basis. If confusion is
roaming around and no one knows what to do, then organization will never met
its goals. There are various critical reasons to discuss that why it is indispensable
for an organization to implement effective internal business communication
policy (Ahmed, 2019)
The first critical reason, which
makes internal communication a vital element, is creating a better and well
communicated work environment. When internal communication is effective enough,
it will develop a great work environment, where everyone knows his/her duties,
and is motivated enough to do well. Such work environment helps in reducing
turnover of employees and it also attracts great talent from external world. The
reason to have a proper internal business communication policy is to deal with
any business crisis. If something bad is happened to the business and crisis is
badly effecting the organization, it is the time when staff needs a clear
message to understand the situation. If an organization has good communication
policy, then it will handle the crisis well with the help of effective
communication so that everyone in the organization is on the same page. The
ultimate goal of a business is to earn revenue by increasing the number of
customers, and customers can only come, if they are happy and satisfied. So,
internal communication is critical to keep the promise of a brand by satisfying
the needs of customers (Lockley , 2017)
It is a fact that a business
organization can have different departments like marketing, HR, sales etc. and
they all have to work collectively to achieve common goals of the organization.
The great thing about effective internal business communication is that
different departments are aligned well and they have proper communication
channels to convey any viable messages to each other. For instance, if a
marketing department needs a new marketing expert, then it should properly
convey this requirement to HR department to hire the new talent. If there would
be no internal communication policy, then such processes will always be difficult
to handle. The communication is essential to form between these departments so
that they are working in collaboration to achieve common goals. Moreover,
internal communication policy is effective as it allows employees to give their
feedback and share their ideas, if they see any improvement area in the work
processes. Their insights can be crucial to eliminate any errors in the process,
but if there would be an effective internal communication process, then
employees may never be able to share their feedback and ideas (Bhardwaj, 2016)
The other great reason to have
effective internal communication policy is employees. If an organization wants
its employees to work hard and come up with great quality and productivity in
their work, then internal communication needs to be strong and well directed. It
means that employees will be engaged more and they will show more loyalty towards
their job as they feel valued when top management is directly in contact with
them, and message are clearly conveyed to motivate them. The effective internal
communication can have so many positive effects on employees ass their engagement
in the organization is increased. When they are engaged and included in every
decision making process, and their ideas are valued through proper
communication channel, the things get better in so many ways ( VORA & PATRA, 2017)
It is a well-known fact that
technology is impacting business in so many effective ways so its role in
internal business communication cannot be denied. If an organization has the
essence of certain technologies for its internal communication processes, then
life can be much easier not only for the organization itself, but for employees
as well. The company can use a software program to develop a universal
platform, which allows all departments to remain on one page by visiting the
online portal to see what changes have been made. An organization can use such
portal to convey any new message or update to all of the employees in the organization.
The departments as well as employees can share and transfer information through
such online portal. This is just one example as technology can enhance the
level of internal business communication in so many other ways ( Roberts, 2018)
Conclusion on The
Internal Business Communication
It can be concluded in the end that
internal business communication is crucial for a business organization, because
it not only keeps things on right track by allowing the stakeholders to remain
on one page, but it also allows staff to follow the vision and larger picture
developed by the organization. The absence of proper internal business communication
can have so many negative impacts on performance of employees as well as
organization. Moreover, the organization should develop a proper and effective
internal communication policy, which used the essence of technology to be more efficient,
convenient and effective.
